Overview

The Executive Assistant is responsible for providing administrative support to the Sr. Vice Presidents and to support the mission, vision and values of Heritage Christian Services.

 

Pay for this position:  $44288.76 - 51670.22 / year

 

The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training. The above range represents the organization's good faith and reasonable estimate of the range of possible compensation at the time of posting

Responsibilities

  1. Responsible for the daily administrative duties of the Sr. Vice Presidents to include Outlook calendar coordination, preparing and editing of correspondences, presentations, and documentations as needed. Ability to prioritize responsibilities with the flexibility to pivot with limited notice when necessary.
  1. Oversee all functions of the reception area including supervisory responsibility for administrative support to include evaluation, coaching and development to ensure a customer focused experiences for staff and visitors. Provide breaks and backup to receptionist when the Administrative Assistant is unavailable.  
  1. Coordinate Hospitality for office functions; order refreshments, provide appropriate set-up for meetings/groups, clean-up as needed.
  1. Work with the Executive Assistant to the President and the Learning and Development Specialist to maintain meeting room calendars.
  1. Work with the Executive Assistant to the President to assist with the coordination of the Spirit and Culture Committee.
  2. Provide administrative support for strategic projects including Project Managers’ meetings, directly provide and/or coordinate training for Teamwork Project Management Software. Monitor Teamwork activity related to Strategic Project work.
  1. Responsible for agency wide conference registrations, lodging accommodations, and membership renewals.
  1. In conjunction with the Administrative Assistant, administer Sonitrol FOB and door access for corporate and regional offices.
  2. Provide other administrative support as needed; support special projects, events and meetings as needed.

Qualifications

  • Associates degree required; Must have a minimum of three (3) years of related executive level experience.
  • Must have a proven ability to: maintain a high degree of confidentiality
  • Proficient in Microsoft office suite
  • Demonstrate strong emotional intelligence
